Who we are
Casepoint Software Ltd (“Casepoint”) is responsible for (the “controller” of) the personal data collected through this website. Casepoint Software Ltd is registered in England and Wales, company number 17534946. Registered office: 2nd Floor, College House, 17 King Edwards Road, Ruislip, London HA4 7AE. We are registered with the Information Commissioner's Office under number ZC287908.
For any question about this policy or your data, email us at privacy@casepointhr.co.uk.
What we collect
When you register for the pilot or ask for a demo, we collect:
- your name
- your work email address
- your company's name and size
- anything you choose to write in the message box
You don't have to give us these details, but we need your name, work email, company and its size to reply to you. The message box is optional.
Please don't include details about employees or HR cases in your message.
The website is hosted by Vercel, in London. When you visit, Vercel automatically records technical information, such as your IP address, browser type, the pages requested and the time of the request, to keep the website running and secure.
How we use it
We use the details you send us to:
- reply to you and, if you'd like one, arrange a demo
- talk to you about the pilot programme
- keep a record of who has asked to join the pilot
We don't sell your data, we don't use it for advertising, and we won't add you to a marketing mailing list without asking you first.
We don't make any decisions about you by automated means.
Our lawful basis
We rely on our legitimate interests: responding to business enquiries, running the pilot programme and keeping the website secure. You can object to this at any time (see “Your rights”).
If we contact you about the pilot
We may contact people at UK companies to tell them about the pilot. We do this ourselves, one person at a time, by email or LinkedIn message, and we only email people at companies, not sole traders or partnerships. To do it, we use business contact details that are publicly available on LinkedIn and company websites:
- your name and job title
- your company's name
- your work email address
- the LinkedIn profile or web page where we found these details
We rely on our legitimate interests: telling UK businesses about a product that may help with their work.
If you'd rather not hear from us, reply “no thanks” or email privacy@casepointhr.co.uk. We'll stop straight away and keep only your email address or LinkedIn profile on a do-not-contact list, so we don't contact you again.
Otherwise, we keep these details for up to 12 months after we last contacted you. If you reply and ask about the pilot, we treat your reply like any other pilot request. Messages on LinkedIn are also handled by LinkedIn under its own privacy policy. Your rights below apply to these details too.
Who we share it with
We use a small number of service providers who handle data on our behalf:
- Resend, which delivers pilot requests from the website to our inbox
- Microsoft (Outlook), our email provider
- Vercel, which hosts the website
We don't share your data with anyone else unless the law requires us to.
International transfers
Resend sends pilot requests from its servers in Ireland, which UK law recognises as protecting data adequately. Resend is a US company: access from the US is covered by the UK-US data bridge. Vercel, which hosts the website in London, is also a US company, and the UK-US data bridge covers it too. Where any of our service providers handles your data outside the UK, we rely on safeguards recognised under UK law, such as UK adequacy regulations or the International Data Transfer Addendum.
How long we keep it
We keep pilot requests for up to 12 months after we were last in touch, unless you join the pilot, in which case the pilot's own terms apply. Resend keeps a copy of each request it sends for 30 days. Technical logs in our Vercel account are kept for one day.
Cookies
This website doesn't use cookies, analytics or any other tracking. If that changes, we'll update this policy and ask for your consent where the law requires it.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct anything that is wrong
- ask us to delete your data
- ask us to restrict how we use your data
- object to how we use your data
- ask for your data in a portable format
To use any of these rights, email privacy@casepointhr.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your data, email us at privacy@casepointhr.co.uk. We'll acknowledge your complaint within 5 working days, look into it, and tell you what we found and what we've done about it. You can also complain to the Information Commissioner's Office (ICO) at any time, at ico.org.uk or on 0303 123 1113.
Keeping your data safe
We take reasonable steps to protect your data and limit who can see demo requests to the people who need to reply to them.
Changes to this policy
If we change this policy, we'll update this page and the date at the top.
